HALLOWEEN BALL


The Haunted Halloween Ball returns on October 30th at the Doubletree Ballroom. This is the 6th year of this event and will feature a headline performance by The Pork Tornadoes. DJ and special opening act will be announced soon. This event is not only the biggest Halloween party in the state of Iowa but it also raises money for local charities. The organization has donated more than $45,000 to Eastern Iowa charities in the first 5 years. This year's beneficiary will be Trees Forever.

IMPORTANT INFORMATION


Hello and happy-almost-Halloween! You are receiving this email because you purchased tickets to the 6th Annual Haunted Halloween Ball. (Woohoo!) We can't tell you enough how thankful we are that you chose to party with us. There are a couple of things to discuss before the event this Saturday. PLEASE READ BELOW.


TICKETS-
As you may have noticed, we changed to the Ticketmaster platform this year. This should give us the ability for a smoother entry process. You should have been mailed a ticket, or you will have an eTicket in your email inbox. Bring your tickets and have them ready to go when you arrive. If for some reason you haven't received the email/tickets or you can't locate them, call/email/visit the Box Office to help you find them. Please expect to wait a bit to get your ticket scanned and your ID checked. You must be 21+ and you must have a wristband to enter.

VIP TICKETS-
If you purchased a VIP ticket, you will have a separate line to expedite your registration. You will also have a different colored wristband to access the VIP area. Be prepared to show your wristband to security in order to go in and out of the VIP.


SCHEDULE-
Doors open at 7pm. Please note that some of the earlier tickets accidentally stated 8pm on the ticket. This is incorrect. DOORS OPEN AT 7PM and the party starts right away. DJ Lady J will be playing your favorite 80s tunes at 7pm, opening act The Schmidt Brothers is on at 8:30pm, and The Pork Tornadoes will play a final party set around 10:00pm. The event ends a little after midnight.

Large round tables from previous years have been replaced with more of the tall cocktail tables, along with some couches and chairs scattered throughout the ballroom for people to sit down or congregate around. Please note that this is more of a "stand up, wander around" type of event. There are NOT enough tables and chairs to allow everyone a place to sit. First come, first serve.

There will be a coat check area at the event but it will not be attended. We are not responsible for any lost, stolen or misplaced items.

FOOD AND DRINK-
As always, food and drink will be available for purchase. Food Trucks will be parked outside of the venue, next to the Box Office. Don't forget to support these local guys and enjoy some good eats! Alcoholic and non-alcoholic beverages are available for purchase through the Doubletree bar stations in the event. Beer and Truly will be $5-6, Liquor and Wine will be $8-9 and non-alcoholic beverages will be $3. We are not allowed to set or alter these prices. This is provided through the hotel, and is standard to any wedding or special function. Please tip your bartenders, they do a great job for us every year!

Last time, we were forced into a drink ticket system. (Remember THAT?! Ugh.) This caused major headaches and long lines for all involved. This is NO-LONGER the case. No drink tickets, just cash-only bars! Credit/debit cards are not accepted.

COSTUME CONTEST-
We always have lots of questions about the costume contest. Here are some details:

Contest #1- Our top secret judges will be walking around and hand-selecting their favorite costumes. If you think you have what it takes, be looking your best when you walk into the event. If you are selected, you will be handed a pass to enter Costume Contest #1. This will take place on stage during the show. YOU MUST BE AT THE EVENT BY 8:30PM to be considered for this first contest. There will be 3 total categories available for judging: Funny/Pop Culture, Scary, and Couple/Group. Each category will pay out $100 for first, $75 for second and $50 for third. The first place winner from each category will compete for the overall grand prize of $200.

Contest #2- With so many guests and so many amazing costumes, it would be impossible to let everyone enter the on-stage contest. So our second contest let's everyone enter! There will be two free photo booths at the event. One for fun and the other will be an official costume contest booth. Get your photo taken in this booth and you will be entered into the costume contest that will be held after the event is over. Our panel of judges will look through everyone's costume photos and pick 1st, 2nd, 3rd, 4th and 5th place overall winners. No categories in this contest. Payouts are $150, $125, $75, $50 and $25. The photobooth will be open from 7pm-10pm.

Contest #3- The week following the event, there will also be an online costume contest with a $50 prize available to each of the top 4 winners. This particular online contest will be judged by your peers on Facebook.

COSTUME GUIDELINES-
There have been questions about costume props, as well. Props are allowed, but per the wishes of the Doubletree and CRPD, no real weapons can be used for props. And any props that are real, or look too lifelike, will be confiscated. Homemade props are great - but use your best judgement. Final say will be given to security and the police officers on-site.


HOTEL-
Our special room rate & Halloween hotel block is sold out. But there are still a few regular guest rooms remaining at the Doubletree if you want to stay the night. There are other hotels in town that have available rooms as well, and UBER/LYFT is an easy way to get around town. Parking is available downtown and in the parking ramps. Please find a safe ride home.

PHOTO BOOTHS-
Just like in years past, we will be providing photo booths. Get your group together and get your photos taken! Photos will be available for free download a few days after the event is over. For the online costume contest, and the judged costume contest mentioned above, you must use photos taken in our official photo booths, so make sure you get yours done at our booths!

HEALTH PROTOCOLS-
The health and safety of our guests, musicians, and vendors is very important to us. We cancelled the event last year because we did not feel it was possible or responsible to host such a large party given the public health crisis of 2020. We are proceeding with the event this year, with a few modifications:

1.) We have reduced our max capacity in order to allow our guests to spread out more evenly, and give more room for social distancing.

2.) We hope our guests take it upon themselves to stay home if they are feeling unwell or uneasy.

3.) We welcome the use of masks for anyone that chooses to wear one.

4.) We want to be transparent that there will be some shoulder-to-shoulder areas. Some of our guests will willingly choose to stand close to the front of the stage, in a crowd. That being said, we want to highlight the true magnitude of the venue space. We rent out all three ballrooms on the main level of the DoubleTree - which combined, are over the size of a football field. Typically, our attendees roam the event space throughout the night, in order to access the bars, bathrooms, food trucks, live music, photo booths, and cocktail tables. So there is plenty of room to move about, and find a space to comfortably enjoy the music. And with top-notch sound and lighting production, our guests can have a great time, no matter where they choose to stand with their circle of friends.


FINAL THOUGHTS-
This is the 6th year of planning this event. Hopefully you've joined us for some of our past parties and/or we'd like to welcome you to the Haunted Halloween Ball if this is your first time. Sometimes it feels like we have been doing this for 20 years. Sometimes it feels like year one. Each year and each theme brings new challenges and new excitement. We always hoped for the event to be successful, but we never dreamed that this is what it could become. We wanted to create the kind of party you see in the movies, the kind of party that we would want to go to. And with your support - we've made that happen! **THANK YOU** for attending and thanks for having the most amazing costumes we've ever seen! This event is a labor of love, and it's also a ton of work. We're always learning (and listening) on how to improve. There may be some things that don’t go as planned - that's just the unpredictable nature of live events! But we have made some great additions that we feel will continue to impress our guests and have you coming back year after year.


We started this event as a few friends who wanted to have a "little party" but we're honored that we've grown to be such a staple in the community, and we're humbled to have given away over $45,000 to local charities, all because of great ticket-buyers like you.
